Time management: Methods and tips

How to get more done in less time!

Time management is a challenge that we all face every day - whether at work, at university or in our private lives. However, instead of working more to juggle all your tasks, it is often more helpful to work in a more conscious and focused way. In this blog post, we would like to introduce you to three proven methods that can help you manage your time - whether you want to increase your productivity or create more freedom in your everyday life.

Get to know the following time management methods and how to use them:

  1. The Pomodoro Method

  2. The Eisenhower Method

  3. The 80/20 Rule

  4. Time Blocking Method

  5. Tips for Implementation

Pomodoro

The Pomodoro Method: Divide your working day into units

You probably know the situation: you have a long to-do list in front of you and you don't know where to start.

The Pomodoro method can be a good helper here. It is based on the idea of dividing your working time into manageable units (so-called “pomodoros”). Divide your tasks into small packages that you can complete within 25-30 minutes. Take a 5-minute break after each session.

Once you have completed four sessions, take a longer break to recharge your batteries. Approach each new set of tasks with concentration and focus to avoid overloading yourself.

This method is very flexible and can be adapted to individual needs, for example by lengthening or shortening the intervals.

Eisenhower

The Eisenhower method: categorize your tasks

Do you find it difficult to set priorities and are easily distracted by things?

Then the Eisenhower method is a good choice.

Divide your tasks into four categories: important/not important and urgent/not urgent.

The important and urgent tasks are then completed first, followed by the important but not urgent, then the urgent but not important and the neither important nor urgent tasks should be avoided.

The advantage of this method is that the focus is directed to the essentials, which means that unimportant tasks can be eliminated.

Eisenhower Method Grafic: Cluster your work in important and urgent

80/20 Regel

The 80/20 Rule: Focus on the most effective tasks

Do you tend to complete small, less important tasks first or do you have a busy schedule?

Then try the 80/20 rule. Focus on the tasks or activities that deliver the greatest results, as 20% of the effort often produces 80% of the effect.

To do this, you must first analyze the tasks and determine which tasks deliver the greatest results. You then need to focus on these tasks, while the other 80% should be reduced or delegated.

The advantage of this method is that less time is spent on less effective tasks.

Timeblocking

Time Blocking Method: Divide the day into clearly defined blocks of time

Do you like to put off your tasks or have to work on several tasks at the same time?

Then the time blocking method might be best for you. To do this, give each task a fixed time slot. Instead of simply working through a to-do list, you can plan when and for how long you will work on a task. This method has the advantage of creating a clear structure, allowing flexible adjustments and reducing procrastination.

Umsetzung

Tips for Implementation

To find the right method, you should first analyze your goals and needs.

  • Would you like to work more productively?

  • Do you find it difficult to set priorities?

  • Do you get bogged down by little things?

The next step is to try out the methods. Each method should be tested for a few days or weeks.

It is important that you honestly reflect on how well this method has helped you.

It is also often helpful to combine several methods, for example the Eisenhower Method with the Time Blocking Method or the Pomodoro Method with the Time Blocking Method.
